One invoice a month · 30 days net · Discounts published

An account rate you can check with a calculator.

Most ground-transport suppliers negotiate a corporate rate you cannot audit, against a list price you never saw. We do the opposite: the rate card is published, and the account discount is a stated percentage off it — 5, 8 or 12 per cent, depending only on what you actually spend. No joining fee, no minimum, no fixed term.

Quick answer

A corporate account turns pay-as-you-go booking into invoiced booking: one consolidated invoice a month at 30 days net, with cost-centre and reference codes on every line, a named contact, priority allocation when the fleet is busy, and a published volume discount — 5% from 10 000 SEK a month, 8% from 25 000, 12% from 50 000, applied to the invoice total across transfers, chauffeur hire and tours alike. There is no joining fee, no minimum spend and no fixed term. And for universities, hospitals and authorities we issue structured e-invoices over Peppol, which Swedish law has required of public-sector suppliers since 2019 and which a PDF does not satisfy.

01 — What an account gives you

Four things, and none of them vague.

Corporate pages tend to promise "a dedicated account manager" and "competitive rates". Here is what those words mean here, stated so you can hold us to them.

1

One invoice a month

Issued at the start of the month for the month before, at 30 days net, itemised by journey. No card payments, no receipts photographed at a rank, and nothing for a traveller to expense.

2

Codes on every line

Cost centre, project or reference code, and traveller name against each journey. Set a default per department and override it per booking. If your finance system rejects invoices without a reference, tell us the format up front.

3

A named contact

One person who knows your addresses, your usual vehicle classes and who is allowed to book. Not a ticket queue. Dispatch is still there around the clock behind them.

4

A published discount

5, 8 or 12 per cent off the monthly total, by volume alone. Stated on this page rather than negotiated in a meeting, which means procurement can qualify us without a call.

02 — The discount tiers

Published, so nobody has to ask.

The discount applies to the monthly invoice total rather than to individual journeys, so the rate card stays the reference and every line still reconciles against it.

Tier Monthly invoice total Roughly equivalent to Applies to Discount
Accountno minimumUnder 10 000 SEKOccasional visitors and one-off daysInvoicing, codes, named contact, priority—
Tier oneFrom 10 000 SEKAbout 14 Arlanda–Stockholm transfersTransfers, chauffeur hire and tours5%
Tier twoFrom 25 000 SEKAbout 36 Arlanda–Stockholm transfersTransfers, chauffeur hire and tours8%
Tier threetop tierFrom 50 000 SEKAbout 72 Arlanda–Stockholm transfersTransfers, chauffeur hire and tours12%

Thresholds are on the combined monthly total across all three services, before VAT. A company booking forty airport transfers and one chauffeur day a month is measured on the sum, not on each service separately. The tier is applied to the invoice when it is issued, so a busy month earns the discount for that month without renegotiating anything — and a quiet one simply does not. Below 10 000 SEK there is no discount, and we would rather say so than imply one.

What that looks like in practice
A month's booking At list Tier You save You pay

80 × Arlanda–UppsalaEconomy, 695 each55 60012%6 67248 928

All figures in SEK, excluding VAT. Unit prices come straight from the published rate card — 585 SEK to Kista at 30 km, 695 to Uppsala at 40 km — so every row here can be reproduced from two numbers and a percentage. That is the entire point: an account rate you can audit six months later without needing the person who negotiated it.

03 — Invoicing and compliance

The part that decides whether you can use us at all.

For a university department or a hospital, the question is not usually the price. It is whether a supplier can issue an invoice their system will accept — and a surprising number of local operators cannot.

01

One consolidated invoice

Issued at the start of each month for the month before, at 30 days net, with VAT shown separately as Swedish law requires. Every journey appears as its own line: date, route, vehicle class, traveller, and your codes. New accounts start with a modest credit limit that we raise once there is a payment history — standard practice rather than a comment on anyone.

Ask about terms →
02

Cost centres and references

Each booking can carry a cost centre, a project or reference code, a traveller name and a free-text field, all of which reach the invoice line. Most accounts set a default per department and override it when a journey belongs elsewhere. If your system rejects invoices missing a reference — many do — give us the required format when you open the account rather than after the first rejection.

Send your format →
03

E-invoicing for public bodies

We issue structured e-invoices over the Peppol network in BIS Billing 3. Under the Swedish Act on electronic invoices (2018:1277), in force since 1 April 2019, invoices to public authorities must be electronic and machine-processable — a PDF does not qualify. Send your Peppol ID or GLN and we will have it working before your first journey.

Set up Peppol →
This is the practical reason departments at Karolinska, Uppsala University, SLU and KTH often cannot use a local car firm they otherwise like: the firm cannot issue a compliant e-invoice, so the purchase cannot be processed. Talk to us about it
04 — Who books with us

Four kinds of buyer, four different problems.

The account is the same for everyone. What differs is which part of it turns out to matter — and it is rarely the part people expect when they first call.

01

Life science and pharma

Uppsala Business Park, Fyrislund, the Karolinska cluster. Visiting scientists, auditors and regulators arriving weekly on the same handful of routes. What matters here is the named driver at arrivals and a reference code that survives to the invoice, because the cost belongs to a study rather than to a department.

02

Technology and Kista

Kista Science City and its data centres. Candidate interviews, vendor visits and out-of-hours technical work that no timetable serves — Kista has no commuter station, so the alternative is an hour through the city and back. From 2028 the Ericsson move to Hagastaden will shift some of this; the account follows the addresses.

03

Universities and public bodies

Uppsala University, SLU, KTH, Karolinska, the kommuns. Examiners, opponents at public defences, conference speakers. Here the Peppol e-invoice is the deciding factor — without it the purchase cannot be processed at all, whatever the price or the service.

04

Hotels, DMCs and agencies

Trade bookers rebooking constantly for guests who are not them. One invoice a month instead of one per guest, our published card to mark up transparently, and a fleet that can produce matched vehicles for a group. Agencies with their own commission terms should see travel agents and DMCs.

05 — Opening an account

One email, and usually one working day.

There is no application form, no credit application to sign and no onboarding call to sit through. You can book before the paperwork finishes.

1

Send five things

Company name, organisation or VAT number, invoice address, any Peppol ID or reference format your finance system needs, and who is allowed to book.

2

We confirm the account

Normally within one working day, with your named contact, your codes set up and your credit limit stated plainly rather than left to be discovered.

3

Book by any route

Email or WhatsApp to your contact, or phone dispatch at any hour. Anyone you have authorised can book — an EA does not need to be the person who opened the account.

4

One invoice, monthly

Itemised, coded, discounted at whatever tier the month reached, and sent as a structured e-invoice if that is what your system takes.

Worth saying plainly

Two reasons not to open an account with us

First: if you book two or three journeys a year, an account earns you nothing. You will sit below the discount threshold, and booking online takes less of your time than setting up a supplier record. Open one when the invoicing is worth more to you than the admin costs — usually once somebody in finance starts asking about taxi receipts. Second, and more important: if you need one supplier across many countries, we are not that company and will not pretend to be. We cover Stockholm, Arlanda, Uppsala and the Mälardalen properly, and nothing else at all. A global travel-management contract wants a global operator; what we are good for is the leg into and out of this airport, done the same way every time.

06 — Account questions

The commercial detail, answered.

Prices themselves live on the transfers, chauffeur hire and tours pages. These are the questions procurement and finance ask.

What is a corporate account and who can open one?
Any registered company, university, hospital, authority, hotel or agency with a Swedish organisation number or an EU VAT number. It converts pay-as-you-go booking into invoiced booking: one consolidated invoice a month instead of a card payment per journey, cost-centre and reference codes on every line, a named contact who knows your addresses, priority allocation when the fleet is busy, and a published volume discount. There is no joining fee, no minimum spend and no fixed term.
How much discount does an account get?
It is published rather than negotiated: 5 per cent once your monthly invoice reaches 10 000 SEK, 8 per cent from 25 000, and 12 per cent from 50 000. The discount applies to the invoice total rather than to individual journeys, so the published rate card stays the reference and you can still check any line against it. It covers all three services. Below 10 000 SEK a month there is no discount — we would rather state that than imply one and disappoint you at the first invoice.
What are the payment terms?
30 days net from the invoice date, on a single consolidated invoice issued at the start of each month for the month before. VAT is shown separately as Swedish law requires. New accounts start with a modest credit limit that we raise once a payment history exists — that is standard practice rather than a comment on anyone — and for an unusually large first booking we may ask for part payment in advance. We will tell you the limit when we open the account rather than when you hit it.
Can you send e-invoices to a university, hospital or authority?
Yes, over the Peppol network in Peppol BIS Billing 3 format. This matters more than it sounds. Under the Swedish Act on electronic invoices resulting from public procurement (2018:1277), in force since 1 April 2019, invoices to public authorities must be electronic in a structured format that can be processed automatically — and a PDF does not satisfy it. Many smaller ground-transport suppliers cannot issue a compliant e-invoice at all, which is the practical reason departments at Karolinska, Uppsala University, SLU and KTH often cannot use a local firm they otherwise rate. Send us your Peppol ID or GLN and your reference requirements and we will have it working before your first journey.
How do we tag journeys to cost centres and projects?
Every booking can carry a cost centre, a project or reference code, a traveller name and a free-text field, and all of them appear on that journey's invoice line. Most accounts set defaults — a code per department, say — and override them per booking when a journey belongs to something else. Some organisations will not pay an invoice at all if a required reference is missing, so tell us the format when you open the account rather than after the first one is rejected.
How do people book once we have an account?
By email or WhatsApp to your named contact, or by phone to dispatch around the clock. Anyone you authorise can book — an EA arranging travel for a visiting professor does not need to be the person who set the account up. You tell us who is authorised and what they may book, and we will decline anything outside that. Confirmations go to the booker and, if you want, to a shared mailbox so travel or finance sees everything as it happens rather than at month end.
Do account rates apply to chauffeur hire and tours as well as transfers?
Yes, all three. Transfers are priced from the per-kilometre card, chauffeur hire by the hour, tours from the hourly rate plus a guide supplement — and everything you book across the three lands on the same monthly invoice and counts toward the same volume threshold. A company booking forty airport transfers and one full chauffeur day a month is measured on the combined total, not on each service separately.
Is there a minimum spend, a joining fee or a contract?
None of the three. An account costs nothing to hold and nothing to close, and if you book twice in a year you simply sit in the no-discount band and still get invoicing, codes and a named contact. We do not ask for volume commitments, because we would rather you booked us when we are the right answer and did not when we are not — which is the position the rest of this site takes on every page.
What does priority allocation actually mean?
On a day when demand exceeds the fleet — a cruise turnaround Saturday, an international at the arena in Solna, term start in Uppsala — account bookings are allocated before pay-as-you-go ones. It is not a guarantee and we will not pretend it is: if every vehicle is committed, an account does not conjure another one. What it means in practice is that a request arriving at the same moment as somebody else's goes to you first, and that if we genuinely cannot cover you we will call you rather than simply decline online.
Can we get reporting on what we spend?
Yes. The monthly invoice itemises every journey with date, route, vehicle class, traveller, cost centre and reference, which most finance teams find is reporting enough on its own. On request we also send a monthly summary by cost centre and by route — the view travel managers usually want when working out where spend actually goes, and the one that tends to reveal that three people are doing the same journey separately. Both are included rather than charged for.
How do we open an account?
Send five things: company name, organisation or VAT number, invoice address, any Peppol ID or reference format your finance system requires, and the names of the people allowed to book. We confirm the account and your named contact, normally within one working day, and you can book immediately — the first journey does not have to wait for the paperwork to finish.
